Explanation and discussion:
In business situations we often must send a document to someone. In such cases it is useful to send a cover letter, also called a transmittal letter or letter of transmittal. This document should be short and clear, and contain
the name and address of the sender
as well as that of the receiver,
a brief description of what is being sent
and why it is being sent.
While the letter is usually very brief, rarely more than one or two very short paragraphs, on occasion you may wish to highlight some important item in one of the enclosures. This can be done with a paragraph or two in the letter, drawing the recipient's attention to the appropriate material.
